Subject: FYI: Clarification on Position Description Exercise
As you know, there is a Center-wide effort underway for each employee/supervisor to review position descriptions and prepare resumes.
I understand that there may be some confusion as to what your role is during this exercise. This email will hopefully explain the action.
Each employee should have received a package that consists of (along with the action that needs to be taken):
1. Front sheet – called the “Employee Personnel Report.” Includes information on employee’s current position data and RIF retention data. Review this information and make any necessary pen changes to the data not correct. (Changes needed for education level, veteran’s preference, etc., will eventually need to be validated with the appropriate documentation. )
2. Second sheet – called the RIF Resume Requirements guidance. You will need to prepare a personal resume. You can use NASA Stars or place the resume in a word document. If you use NASA Stars, you will need to print the resume out. Attach your resume to this complete package and give it back to your supervisor by the due date established by your organization.
3. Third sheet – latest position description on file in OHCM. Review this document. If minor changes are needed, you can just make pen changes. If major changes are needed to the duties, describe these duties on a separate sheet of paper (remember to include any equipment/machinery, etc., that is used on a daily basis in order to perform the major duties and responsibilities of the position). You will need to assess the accuracy of your major duties and give the percentage of time you perform each duty. You are not being asked to create a new position description.
My understanding is that this is the first step. The next step will be for OHCM to review our input. When position descriptions need major work, they will get back with the manager and complete the new document at a later time.

The Directorate Office has invited two OHCM specialists to our RTD staff meeting on Wednesday to discuss our questions, issues….. about this exercise. If we get any different or additional information, I will pass it along to you.
