Subject: Outlook Calendars

Please forward this e-mail message to all employees.

There have been several instances where individuals who have been invited to a meeting have forwarded the meeting invitation to other individuals. Even though this is an option that is available in Outlook, it is not advisable for several reasons. It is considered poor meeting etiquette to invite other people to a meeting who are not on the original guest list. The organizer of a meeting has a pre-determined list of people that are considered essential for attendance at a meeting. If additional people are invited to a meeting without the knowledge of the meeting arranger, the meeting space may not be large enough to accommodate everyone or presentation materials may not have been prepared for the additional attendees or a meeting subject may not be open to attendees other than the original attendees. Additionally, once a meeting invitation has been forwarded to individuals other than the original invitees, the “ownership” of the meeting is lost and it results in the corruption of the Outlook Calendar System.

Please do not forward meeting invitations to anyone. If an individual desires to be added to a specific meeting, please contact the meeting organizer to make the request.

Thank you for your cooperation.
