Description

Ames Research Center, Workforce Development Branch has a requirement to provide a facility for sleeping accommodations, eating facilities, meeting room, and support training services (audio/visual (A/V) equipment, set up of logistical services, etc.) for the Strategic Leadership BootCamp Session 2 located at NASA HQ, 300 E St. SW Washington, DC 20024. The training location must be an offsite facility, located at a minimum distance of mile from NASA Headquarters to enable the participants to attend various scheduled meetings and course activities. Individuals will be arriving on Tuesday of the week selected and all individuals will be leaving on Friday of the same week.

The facility must have sleeping and eating facilities to accommodate approximately thirty-two (32) participants and be available on one of the following series of dates: 1. May 18th, 2010 thru May 21st, 2010 2. June 8th, 2010 thru June 11th, 2010 3. June 15th, 2010 thru June 18th, 2010 4. June 22nd, 2010 thru June 24th, 2010

Sleeping Accommodation Requirements are as follows: Tuesday- 32 single rooms Wednesday- 32 single rooms Thursday- 32 Single rooms Friday- No rooms needed- checkout

Meal Requirements:
* All participants and instructors will need eating facilities for:
* Breakfast on the Wednesday, Thursday and Friday of the week selected.
* Lunch on the Thursday and Friday of the week selected.
* Dinner on the Wednesday of the week selected.

It is preferred that all meals provided shall be served in the meeting room requested. All meals can be buffet, off the menu, chef’s choice, etc. Each meal should accommodate special diets (vegetarian, etc). The vendor shall provide drinks and refreshments in the meeting room. There should be refreshments on Thursday and Friday of the week selected plus evening refreshments on the Thursday of the week selected. These refreshments shall be the usual beverages and foods off the menu that the vendor would normally offer for similar events. Coffee, tea (regular and decaf), and water should be set up in the meeting room until 11 am each day. The time for refreshments will be determined after award and agreed upon by both parties.

Meeting Room Requirements: The vendor shall provide meeting facilities, food and beverage as well as audio-visual services and logistics for approximately twenty-four (24) participants and up to eight (8) trainers/mentors. The meeting space must be big enough to accommodate at least 50 people. It must be large enough for each table, easels etc. The tables should be rounds (for 24) at least fifteen (15) feet apart. It must allow for the 32 participants to move around freely and for presenters to set up as well. A meeting room normally configured for 32 will not be big enough. From Tuesday thru Friday the meeting facilities should be available as follows: Wednesday- 7:00 am to 10:00 pm Thursday- 7:00 am to 5:00 pm Friday- 7:00 am to 2:00 pm

A/V Requirements: 1. AV equipment 2. 5 easels with paper & markers 3. 1 digital projector 4. 1 projection screen

Please note: Vendor shall submit a detailed quote for each specified requirement. Also, the invoice shall only specify actuals.

This notice is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation, which is issued as a Request for Quotation (RFQ); quotes are being requested and a written solicitation will not be issued. Offerors are required to use the On-Line RFQ system to submit their quote. The On-line RFQ system is linked above or it may be accessed at http://prod.nais.nasa.gov/cgi-bin/eps/bizops.cgi?gr=C&pin= . The information required by FAR Subpart 12.6 is included in the on-line RFQ.

The Government intends to acquire a commercial item using FAR Part 12 and the Simplified Acquisition Procedures set forth in FAR Part 13.
